Vurbis processes personal data via its website and related communication channels in accordance with applicable data protection laws, including the EU General Data Protection Regulation (GDPR).

1) Who is responsible (Controller)

Vurbis is the data controller for the processing described in this statement.

If you have questions or requests about your personal data, you can contact us via the contact details shown at the end of this statement.

2) What we collect and why

A. Contact forms & email enquiries

When you contact us via a form or email, we process the information you provide, such as:

  • Name (if provided)

  • Company name (if provided)

  • Email address

  • Phone number (if provided)

  • Message content and any attachments

  • Technical metadata needed to operate and secure our systems (e.g., timestamp, basic logging)

Purpose

  • To respond to your enquiry and handle your request

  • Customer support and service communication

  • Internal administration and improving our service quality

Legal basis

  • Legitimate interest (responding to enquiries, customer communication), and/or

  • Performance of a contract / pre-contractual steps (if your request relates to services)

Retention

  • We keep enquiries as long as needed to handle your request and for a reasonable follow-up period. Unless legally required otherwise, we apply a maximum retention period of up to 12 months for general enquiries.

B. Newsletter

If you subscribe to our newsletter, we process:

  • Your email address (and optionally your name/company)

Purpose

  • To send product updates, insights, and service information

Legal basis

  • Consent (opt-in). You can withdraw consent at any time.

Unsubscribe

  • Every newsletter contains an unsubscribe link. After unsubscribing, we stop sending newsletters and remove your address from the active mailing list within a reasonable period.

Retention

Until you unsubscribe, or until we stop the newsletter service.

C. Marketing via social channels (e.g., Facebook / LinkedIn)

Vurbis may share updates about products, services, and events via social media pages.

If you interact with our social media pages, the relevant social media platform may process your personal data according to its own privacy policy. Vurbis typically receives only aggregated statistics (e.g., page insights) unless you actively contact us via those platforms.

D. Blog comments (if enabled)

If our website allows comments on posts, we may process:

  • Name (or chosen display name)

  • Email address

  • Comment content

  • Any optional details you submit

Purpose

  • To publish and moderate comments and prevent spam/abuse

Publication

  • Your comment and chosen display name may be publicly visible. Your email address is typically not publicly displayed (unless the comment system you use does so—configure accordingly).

Retention

  • Comments may remain published until removed, unless you request deletion (where applicable and lawful).

3) Cookies and similar technologies

Our website may use cookies and similar technologies to:

  • Ensure the website works properly (functional/necessary cookies)

  • Analyze website usage and performance (analytics cookies)

  • Enable social media features (social cookies)

  • Personalize advertising (marketing cookies), where used

Where required by law, we ask for your consent before placing non-essential cookies (analytics/marketing/social). You can change your preferences at any time via our cookie settings (if implemented) or via your browser settings.

4) Sharing data with third parties

Vurbis does not sell your personal data.

We only share personal data with third parties when:

  • It is necessary to provide our website and services (e.g., hosting, email delivery, security, analytics), or

  • It is necessary to process your request, or

  • We are legally required to do so

When third parties process personal data on our behalf, we ensure appropriate safeguards are in place, such as data processing agreements (where required).

Social media buttons/plugins on our site may allow the relevant platform providers to collect data (such as IP address or cookie identifiers). Those providers act as separate controllers for their own processing.

5) Security

We take appropriate technical and organizational security measures to protect personal data against loss, misuse, and unauthorized access. Measures may include access controls, encryption where appropriate, logging/monitoring, and secure configuration practices. Where we use processors, we require them to provide appropriate security as well.

6) Retention periods

We do not keep personal data longer than necessary for the purposes described above, unless we are legally required to keep data longer (e.g., for tax or accounting obligations).

As a general guideline:

  • Contact requests: up to 12 months after resolution (unless longer needed or legally required)

  • Newsletter: until you unsubscribe

  • Analytics data: according to the configuration of our analytics tools (preferably minimized/aggregated)

7) Third-party websites

Our website may contain links to third-party websites. This Privacy Statement does not apply to those third parties. We recommend reviewing their privacy statements before using their services.

8) Your rights (GDPR)

You have the right to:

  • Access your personal data

  • Correct inaccurate data

  • Request deletion of your data (where applicable)

  • Restrict processing

  • Object to processing based on legitimate interest

  • Data portability (where applicable)

  • Withdraw consent at any time (if processing is based on consent)

To protect against fraud and unauthorized access, we may ask you to verify your identity before fulfilling a request.
